Every client engagement follows the same five steps. None of them are skipped. The process exists because the alternative — sending a crew to a building they have never seen, with a scope written from a phone call — produces work that does not match what the administrator expected. We have been doing this for 22 years; the process reflects what actually works.
Before any quote is issued, we walk the building with the facilities coordinator or administrator. We note square footage of each space, the floor types, the equipment present, the number of restrooms, access points, and anything non-standard — a commercial kitchen, a columbarium, a school wing that shares the building. The walkthrough takes 20–40 minutes and is not billable. Nothing in the scope is assumed; everything is observed first.
The scope lists every space, every task, and the frequency for each. It specifies which products are used in the nursery and why. It identifies which items require special handling (audio equipment, communion ware, instruments). The scope is reviewed with the administrator before signing. If something is missing or wrong, we correct it before the first clean, not after.
The crew assigned to your building is briefed on the scope before they arrive. They know which spaces require which protocols, what not to move or disturb, and who to contact if something unexpected comes up during a clean (a pipe drip, a broken item in the nursery, a door that won't lock). We assign a consistent crew to each building so your administrator is not re-briefing a new group each month.
The first clean follows the scope in full. If the building has not been professionally cleaned recently, the first visit takes longer than subsequent ones — that time is factored into the first-visit pricing and disclosed in the quote. After the first clean, the administrator is asked to walk through the building and note anything that was missed or needs adjustment. We address corrections before the second scheduled visit.
Thirty days into the engagement, we schedule a brief check-in call or on-site meeting with the administrator. By then the crew has been through the building multiple times, seasonal conditions have had a chance to show up (Litchfield Park's monsoon season runs June through September and changes what tracks in from the parking lot), and we can adjust the scope if the initial estimate of time or frequency needs updating. This is not a sales call; it is a quality review.
